ChatData Sync Privacy Policy
This Privacy Policy explains what information ChatData Sync collects, how we use it, and what choices you have.
Short version: We collect information needed to run your account and sync features. We do not sell your personal information. We share data only with service providers that help us operate the product, or when required by law.
1) Information We Collect
- Account details (name, email, sign-in info).
- Tracker content (records, prompts, schema preferences, project metadata).
- Support requests and messages.
- Device and browser details, IP address, and usage events.
- Security and audit logs (for example, sign-in events, API activity, token rotation events).
2) How We Use Information
- Create and manage your account.
- Generate and maintain trackers.
- Power sync features for connected assistants.
- Protect accounts and prevent abuse.
- Process payments and subscriptions.
- Provide support and improve reliability and quality.
- Meet legal obligations.
3) How Connections and Tokens Work
Owner actions require signed-in account access. Tracker-specific keys and named assistant connections authorize access to one tracker; named connections can further limit permissions. Some hosted sign-in connections can request broader access to your own trackers, with explicit authorization. Keep keys private and revoke exposed connections. Connected assistants process information they retrieve under their providers' terms and privacy policies.
4) How We Share Information
We do not sell your personal information. We may share information with cloud hosting and storage providers, authentication and identity providers, payment processors, AI and infrastructure providers, analytics and security providers, professional advisors, and legal authorities when required by law.
AI tracker design and voice transcription send submitted content to service providers. If an authorized connection explicitly requests semantic search, the search question and a bounded set of records within that connection's permissions are processed by the configured AI and safety providers to rank relevance. Exact structured reads do not require this ranking step. ChatData Sync does not use saved tracker records to train AI models.
If you opt in to external change notifications, we send signed change-event metadata to the HTTPS destination you configure, without record field values or connection credentials. The destination can retrieve records only with its own authorized connection. You can pause or revoke notifications; information already delivered is subject to the recipient's policies.
5) Data Retention
We keep personal information only as long as needed for service delivery, security, legal compliance, and dispute handling. Backup or log copies may remain for a limited period after deletion from active systems.
Recoverable record deletion hides the live entry while retaining a deleted-record copy and related history/files. Recovery is available for 30 days. Expiry does not itself physically purge retained copies; they remain stored and count toward capacity until removed. Deleting a tracker removes its active-system records, retained history, files, and tracker-specific connections; backup and security-log retention may differ. 6) Security
We use reasonable technical and organizational safeguards designed to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
7) Your Rights
Depending on your location, you may have rights to access, correct, export, delete, object to or limit processing, and withdraw consent where applicable.
8) Cookies and Similar Technologies
We may use cookies or similar technologies for sign-in, security, preferences, and analytics. Where required, we ask for consent before using non-essential cookies.
9) International Transfers
Your information may be processed in countries where we or our providers operate. When required by law, we use appropriate safeguards for cross-border transfers.
10) Children's Privacy
ChatData Sync is not intended for children under the age required by law in your region. If you believe a child provided personal information, contact us and we will investigate and take appropriate action.
11) Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date and provide notice through the app, website, or email.
